Your organisation has recently received Erasmus+ Accreditation and is starting the implementation of its first KA121 cycle.

You already manage KA121 projects and want to modernise your processes with artificial intelligence and specialised digital tracking tools.

CONTENT

Theory and practice. A complete journey into managing KA121.

Each module builds on the previous one and extends it. By the end you gain a full understanding and hands-on experience in managing a complete KA121 cycle, with system and digital tools.

Accreditation Framework and KA121 Implementation

The operating framework of an Erasmus+ accredited organisation and the implementation of the approved plan through the annual KA121 grant, in contrast to the initial KA120 accreditation which is granted only once.

Activity Planning

How to plan and organise the mobility activities of the annual KA121 cycle, in direct connection with the objectives of your approved Erasmus plan.

Participants and Host Organisations

Criteria and procedures for selecting participants based on their profile and mobility objectives. Finding and evaluating suitable host organisations and training providers abroad.

Financial Management

Budget management and resource allocation according to the Erasmus+ funding rules. Systematic archiving of expense documentation and presentation of digital tools for tracking expenses and activities.

Reports and Evaluation

How to write the progress report and the final report to the National Agency, and how to evaluate the learning outcomes and impact of each KA121 cycle.

Erasmus Quality Standards

Applying the Erasmus Quality Standards across all phases of KA121 implementation, and preparing accreditation reports for the National Agency.

Artificial Intelligence in KA121 Management

How to use AI tools such as ChatGPT and Claude, with proven prompts for finding suitable host organisations, evaluating mobilities and analysing learning outcomes.

After the seminar, you will be able to:

Understand the obligations of an accredited organisation and the implementation logic of your approved KA121.

Plan and organise mobility activities with purpose and impact, leveraging artificial intelligence to find suitable host organisations.

Manage your project's budget and supporting documents using digital tools for tracking expenses and activities.

Evaluate the learning outcomes of each mobility using proven prompts on ChatGPT and Claude.

Write the progress report and the final report to the National Agency in line with the Erasmus Quality Standards.

The seminar combines theoretical presentations with practical group exercises in Zoom breakout rooms.

Day Module 1
Laying the foundations

Accreditation framework and KA121 implementation

Presentation of the operating framework of an Erasmus+ accredited organisation and the distinction between the initial KA120 accreditation and the annual KA121 grant. Analysis of implementation obligations under the Erasmus Quality Standards.

Day Module 2
Planning with purpose

Mobility planning with the use of artificial intelligence

Practical exercises in planning and organising the KA121 mobility activities, and in using AI tools to find suitable host organisations and training providers abroad.

Day Module 3
Practical application

Financial management and digital tools

Budget management, resource allocation and archiving of expense documents in line with the funding rules. Presentation of specialised digital tools for tracking expenses and activities, with practical group exercises.

Day Module 4
Completion

Evaluation and submission of reports to the National Agency

Evaluating learning outcomes with the help of AI tools and designing the internal and external dissemination of your project's results. Drafting the progress report and the final report to the National Agency, with practical group exercises.

Tasos Barmpas is the founder of Inkludio Training and specialises in the design, writing and management of European Erasmus+ programmes. He has extensive experience as a consultant and trainer in Key Action 1 (Learning Mobility of Individuals) and Key Action 2 (Partnerships among Organisations and Institutions) applications. He knows application evaluation not as theory but as a real-world process, having helped dozens of organisations submit successful applications with high scores. His approach combines theoretical training with practical application, giving participants the tools to independently write a complete and competitive application.
